The position

After promoting the person formerly in this role, we are looking for a community initiatives coordinator to guide the processes and maintain oversight of community (3rd party) fundraising initiatives and the Foundation’s celebrations program.

Key responsibilities

Reporting to the sr. manager, community initiatives (CI), you will:

Community fundraising initiatives/celebrations program (wedding, holiday, etc.)

• Respond to inquiries from potential fundraisers, advising them on process within CI standards, obtaining sr. manager approval as needed

• Complete and send out appropriate correspondence and documentation for approved applications

• Provide the appropriate materials and collateral as determined by the initiative

• Attend CI events and potential approved speaking opportunities on behalf of the Foundation as needed

• Maintain an accurate log of all community (3rd party) fundraising and celebration initiatives approved by the Foundation in the CI spreadsheet

• Accurately enter and maintain current CI event information on the community events listing of the Foundation website • Conduct appropriate follow-up on events to ensure proceeds resulting from initiatives are directed to the Foundation in a timely manner

• Generate and send out thank you letters ensuring brand consistency and professionalism

• Conduct cheque presentations and photo sessions, and create photo certificates for CI event organizers

• Ensure appropriate donor records are maintained and recognition is provided for event organizers and donors, consistent with the Foundation’s donor recognition standards

• Actively discuss with appropriate fundraising channels the management of key relationships identified as having potential to grow their commitment to the Foundation beyond the CI event, and transfer as appropriate

• Provide support for the Stollery Superstars and school philanthropy programs on behalf of the youth philanthropy co-ordinator as needed

Database management

• Create, enter and update CI event records and celebration initiatives in Raiser’s Edge in a timely and accurate fashion

• Research possible linkages between CI events and existing donor records in Raiser’s Edge and inform appropriate Foundation stakeholders

• Generate reports as needed

Online fundraising tool management

• Set up online fundraising pages as required for CI events and celebration initiatives

• Provide site instructions and support to CI event organizers

• Respond to any questions or inquiries regarding CI event sites

Other

• Participate in the preparation of the annual CI tactical plan and budget

• Respond energetically to priorities and opportunities to work on special projects

• Actively promote, participate in, and be an ambassador of the Foundation’s fundraising activities and events

• Provide administrative support as needed, including: maintaining checklists, filing, mail merging, photocopying, scanning, etc.

• Perform other related duties as assigned

As our ideal candidate, you’re someone who is:

• Educated, ideally with a bachelor’s degree or diploma in a related field (e.g., office administration, fundraising or event management) or a combination of equivalent skills and experience

• Experienced in office administration with a minimum of two (2) years providing multifaceted administrative support and process co-ordination, preferably in the not-for-profit sector

• Experienced in donor and/or event management

• Able to demonstrate excellent administrative skills, with advanced knowledge in the Microsoft Office suite of products and Raiser’s Edge database management

• Knowledgeable of office administration procedures

• Able to demonstrate strong written and verbal communication skills with the ability to make compelling presentations

• Detail-oriented, with strong proofreading and keyboarding skills

• Able to demonstrate strong planning and organizational skills; able to prioritize and manage a variety of tasks at the same time

• Able to thrive in a dynamic, fast-paced environment

• Able to work with a wide variety of personalities and situations with discretion

• Approachable, self-motivated, accountable, flexible, tactful and professional

• Positive with a solution-focused attitude who can take initiative and work both independently and as part of a dynamic team

• Passionate about children’s health and building grassroots movements

• Able to work flexible hours, evenings and weekends, and travel as required

• Able to maintain a valid class 5 driver’s license with access to a vehicle

Additional information

• The Stollery Children’s Hospital Foundation requires all employees and new hires to be fully immunized against COVID-19, and to provide proof of this immunization. Employees who cannot be fully immunized on the basis of a protected ground (i.e., medical or religious) may request an exemption.

• Our successful applicant will be required to maintain a valid driver’s license and access to a properly insured vehicle
